Customize your scheduleUs Family calendar for each individual
Categories can be used to personalize scheduleUs Family calendars in order to print, view and HotSync specific appointments for individual family members. You can create and use Categories at any point in calendar/event creation.
Here is how to create categories:
- Open an Add Event window.
- Click on the "+" button to the right of Categories.
- Type in the category name and then select Save.
- After you have finished entering the categories, select OK.
- You can use the categories you have created by using the pull down arrow in the categories field.
These categories will be available anytime you add new events or modify existing events.
TIP: You can use the same steps for adding Locations. |

Creative ways to use resources
You can create Resources which represent family members, vehicles, pets, anything! You can set up a resource for each family member and then create one resource that can be used when all family members need to be involved.
Here's how to create resources:
- Either select Resources, Maintain from the top pull down menu or select Family resources at the bottom of the screen and then click on the "+" button in the upper left corner of the pop up window.
- Select Add Resource button
- Enter the Name, select a color and assign an initial(s)
- Select OK
TIP: Resources are easily added to existing events through the Events list view by clicking in the appropriate column on the right side of the screen. Click once to add as a participant, twice to add as the owner of the event. |

Create different calendars using views
Would you like to create separate calendars for printing and/or PDA syncing? Create additional calendars by creating Views.
Here's how:
- Create and assign resources to events. Remember, you can assign more then one resource to each event.
- If you like, create and use categories. (i.e. - Work, Family … be creative!)
- Manipulate the events that are viewed in scheduleUs by turning off resources and categories. Select Resources from the button at the bottom of the scheduleUs Family window. Select the resources assigned to the events you want to view, print or HotSync.
- Now select the calendars tab and click on the "+" in front of the Family calendar. If you have downloaded calendars from a publisher, you may have to de-select that calendar as well. You should now see the categories you have created. Select the categories that you want included in this view.
- Confirm that the events you want to see are now visible by viewing the Event List.
- Now select Views from the pull down menu, then select Save View as… and name the view.
Now you can use this view to print specific calendars or sync specific events with a PDA. |

Syncing with your PDA
Synchronizing your PalmTMOS PDA with scheduleUs is easy. Here's all you have to do:
- Open My Preferences by either selecting File, My Preferences from the top pull down menu or clicking on the button to the left of My Preferences at the bottom of the scheduleUs Family window.
- Select the Sync tab.
- You will see a list of the PDA's available for syncing with scheduleUs Family and three other columns: View Name, Resource and Rights.
- View Name is used to sync the PDA with a specific view you have created. This allows you to HotSync specific events from scheduleUs Family to this PDA. See the Creating Views Tip for more information.
- The Resource column is used to assign a Family Resource to all incoming events from the PDA.
- The Rights column is used to set up the actual syncing of this PDA. If you click in the Rights field and then on the down arrow, you will see three options; None, Partial and Full Sync:
None - This setting will set this PDA to not sync with scheduleUs Family when running a HotSync.
Partial Sync -This setting will transfer events from scheduleUs Family to the PDA but will not sync any events from the PDA or other conduits into scheduleUs Family. This is also referred to as a "One Way" sync.
Full Sync - All events will be synchronized with scheduleUs Family, your PDA and any other conduit you use to sync your PDA.
- When you are finished selecting the sync configuration, close My Preferences by clicking on the "X" in the upper right corner of the My Preferences pop up window. There will be a short delay while scheduleUs re-configures your HotSync.
*Did you Know … scheduleUs Family saves your previous HotSync settings before it re-configures for the new sync with scheduleUs Family? If you uninstall scheduleUs Family using the uninstall option in Control Panel or you reset all sync rights to none, your HotSync configuration will be reset back to the original settings. |

Syncing multiple PDA's with scheduleUs Family
There are a few things to keep in mind before you sync multiple PDA's with the scheduleUs Family calendar:
- If similar events exist on both PDA's, they will be duplicated in scheduleUs Family.
- Decide what events within scheduleUs should be in each PDA and if the events from the PDA should be added to the Family Calendar.
- After you have decided which events should be synced and how, create the appropriate view and resources, then set up the sync per the instructions above.
- IMPORTANT: When syncing multiple PDA's, backup your PalmTM data before you sync with scheduleUs for the first time. You will need to do this for each PDA you plan to sync.
To do this:
- Sync with all PDA's without scheduleUs to make sure you have a current up-to-date view of each PDA.
- In Palm Desktop, go to Tools and then Options. On this page you see where the data folder is stored (C:\Program Files\Palm).
- To find your PDA's data, you need to know the name associated with your PDA in Palm Desktop. Palm Desktop stores your data in a folder under this data folder, but changes the name a bit. An example of this is as follows: let's say your Palm name is First Last. Your data folder for that Palm would be named LastF or lastf. So depending on the location of your data (found in step A) the location of your PDA's data could be C:\Program Files\Palm\LastF.
- To navigate to this folder you will need to open My Computer and select the appropriate drive (in this instance we are using the C: hard drive). Now select the Program Files folder, then the Palm folder. You should now see your Palm Data folder, in this case LastF. Copy this folder by right mouse clicking on it and selecting Copy. Now you can "paste" a copy of this folder anywhere on your hard drive to have as a back up.
- Now you are ready to sync the PDA's.

Upgrading to a new PalmTM syncing with scheduleUs Family
When you replace or upgrade your PalmTM, you need to perform a few steps to ensure proper scheduleUs syncing.:
- In scheduleUs Family, go to My Preferences, Sync tab. Reset the Rights field for all PDA's listed to None.
- Close the My Preferences window. There may be a slight delay while scheduleUs resets the HotSync configuration.
- Run a HotSync with the old PalmTM and without scheduleUs.
- Install the new PalmTM software per the PalmTM instructions.
- Run another HotSync with the new PalmTM and confirm the information has transferred properly.
In scheduleUs, go to My Preferences, Sync tab. Set the sync rights back to your original setting. All of your information will be transferred into your new PDA.
NOTE: If you have already installed the new PalmTM software without following these directions, you will need to uninstall and re-install the PalmTM software and follow the steps above. |

Deleting Duplicates
On Palm Desktop version 4.1 or higher, you can delete duplicates under Tools, Add In, and Delete Duplicates. |

Cleaning out older events in scheduleUs and your PDA
- 1. In scheduleUs Family, go to Event List view.
- Select New Date Range.
- Check the box by "Enter a range of dates for the event list"
- Set the Date From far enough in the past to include the range of dates you would like to delete.
- Set the Date To to the most recent Date you would like to delete.
- Select OK
You should now be viewing only the events that you are wanting to remove from your Palm, Palm Desktop and scheduleUs (these events will not be archived). To select all events on the screen:
- Click once on the first event in the list to highlight it.
- Scroll down to the last event.
- Holding down the "Shift" key, click once on the last event. All events in between should now highlight (This may take a few moments, depending on the number of events you are selecting).
- Now select "Delete" at the upper left portion of the screen.
NOTES and TIPS: This may take some time if you are deleting a large number of events. You can break this task into smaller amounts by selecting a smaller time period to delete each time. You can also turn off "Confirm event deletions" option in My Preferences.
IMPORTANT: Also be aware that you will be required to confirm repeating event deletions as "Current", "Future" or "All". Be sure you are aware of which event is coming up and selecting the appropriate reply. |

Syncing events from your PDA to scheduleUs without having any events from scheduleUs transfer into your PDA
This can be very helpful when you are syncing more then one PDA with scheduleUs and you may have duplicate events in both PDA's. We use the "Views" feature in scheduleUs to accomplish this. Here is how to set this up:
- Select "Family Resources" at the lower left of the scheduleUs Family window.
- De-Select ALL resources (including "unassigned").
- Close the Family Resources window with the small "X" in the upper right corner of the pop-up window.
- Select the "Available Calendars" window to the right of the Family Resources.
- De-select ALL calendars.
- Close this window.
- From the menu bar at the top of the scheduleUs window, select "Views", "Save View as…."
- Type in a name for this view (ie: Everything off, or Nothing…..)
- Select "My Preferences" to the right of the "Available Calendars" pop-up window at the bottom of the window
- Select the "Sync" tab
- Locate the PDA name of which you would like to transfer events into scheduleUs Family but do not want events from scheduleUs going out to the PDA.
- Change the "View Name" column by clicking in the field and selecting from the pull down menu the name of the appropriate view.
- Close the "My Preferences" window.
The next time you sync this PDA, all events from the PDA will be copied into the scheduleUs calendar but nothing will transfer back to the PDA from scheduleUS. |
